Let’s Plan a Trip Designed Around You!

How Personalized Travel Planning Saved an Alaska Anniversary Trip

When our clients approached us to plan their dream 50th wedding anniversary trip, they had a clear vision: an unforgettable journey to Alaska. We met several times to meticulously craft the perfect itinerary, ensuring every detail was tailored to their desires.

Every element was designed to create the celebration of a lifetime, from flights to the perfect cruise tour and excursions. But as with all travel, even the best-laid plans can be subject to change. What happened next truly showcased the importance of having a dedicated travel agent on your side. Discover how Sphera Travel’s personalized travel planning can enhance your next trip.

Meticulous Personalized Travel Planning by Sphera Travel

It all started with a meticulously planned celebration—a 50th wedding anniversary trip to Alaska, combining a tour of the rugged beauty of Denali with the serene majesty of a southbound cruise from Whittier to Vancouver. Our clients were excited, as they should be; this was a once-in-a-lifetime celebration wonderfully designed by Sue Ball at Sphera Travel, your dedicated travel agent!

Comprehensive Itinerary Design: More Than Just Planning and Booking

Early on, we were matchmakers, working closely with our clients to design the perfect itinerary through personalized travel planning. From booking flights, securing seat assignments, making hotel reservations, finding the perfect cruise, and organizing every detail into a convenient travel app, we left no stone unturned. We met with our clients numerous times to review every aspect of the trip, ensuring they were fully informed and comfortable with the plans. But this initial planning is only a tiny part of what we do. The unexpected can and will come up—whether it’s a hurricane, sickness, family emergencies, or even technical issues like computer outages. You name it, and it can happen. That’s where the real work begins.

Staying Informed: The Role of Personalized Travel Planning

Part of being a great travel advisor is staying informed. We constantly monitor news, travel blogs, and industry groups to keep abreast of what’s happening worldwide.

On June 30, I saw some unsettling news—a forest fire had broken out at the entrance to Denali National Park. It’s our job to keep a close watch on these developments so we can act quickly when something threatens to disrupt our clients’ travel plans. And that’s precisely what we did. At first, it seemed like a minor issue, but things escalated as the days passed.

Reworking the Trip: Personalized Travel Planning in Action

By July 2, the park closed, lodges lost power, and the cruise line confirmed our worst fears—the land tour portion of their trip was canceled. It was a holiday weekend, and I was out of town visiting family, but there was no time to lose. I immediately got on the phone with our clients to deliver the news. As you can imagine, they were disappointed but determined to continue with the cruise portion of their trip. But then, they mentioned wanting to fly home first since they had a week before the cruise. This presented another challenge—returning home would void their travel insurance.

Travel insurance helps reduce costs and provides peace of mind when problems arise during your trip. We highly recommend every traveler consider this when planning.

So, instead of having our clients return home, we got on the phone together and decided that the best course of action was to rework the first part of their trip, keeping them safe and still on track for a memorable adventure. Despite the time difference, the holiday, and the fact that I was out of town, we crafted a new plan. The new itinerary included a switch of their flights to Anchorage instead of Fairbanks, a stunning train ride, a boat tour in Seward, private transportation to Whittier, and a stay at a hotel in Anchorage that held special memories from their previous visit to Alaska 30 years ago. This is where personalized travel planning truly shines.

I updated all their documents, ensured everything was loaded into their travel app, and then got on a call to go over every detail with them despite it being a holiday. Once they were on their way, I stayed available, even stepping in to clear up confusion about where to meet their guides.

A Remarkable Resolution: The Value of Personalized Travel Planning

Ultimately, they made it to the cruise on time and had an incredible journey through the glaciers. Sure, there were a few hiccups—promises from the cruise line that didn’t quite pan out—but overall, it was a beautiful and memorable trip. And to cap it all off, after they returned home, Sue helped them file an insurance claim for the extra costs they had to incur to make this trip happen. I’m thrilled to report that they received a check for the total amount, ensuring their anniversary celebration was successful.

Here’s what our clients had to say about the experience:

“With the fires in Denali, one week of our trip was suddenly canceled, and we were already in Oregon. Because we had this amazing woman – Sue Ball, in our corner, arrangements were adjusted BIG time, reservations were arranged, and we didn’t lose a week! Every step was communicated, and she literally held our hand through it all.

You can’t begin to imagine the feeling of relief knowing she was doing everything in her power to ensure our anniversary celebration was still a success!! After we were home, she again was in our corner and in our home to file the insurance claim for the trip interruption. Couldn’t have survived without her. Take note of another VERY important fact: We were four hours behind in time, so she was working from many different angles.” ~ Barb and Jim
